Welcome to NoteAi disclose and protect information applicable to our visual communication platform ("services") and your choices for information collection and use.Uppercase terms not defined in this privacy policy have the meanings given to them in our terms of use. If you do not want your information to be processed as a whole or any part thereof of this privacy policy you shall not use our services. This policy applies to all users of the service. Welcome, this is our privacy policy. This policy specifies how NoteAi collects and uses the information we collect about you when you use the service. This policy also explains the choices you can make about the way we use your information.
We collect the following types of information about you:
(a) Information you provide to us directly
When you register a NoteAi account or communicate with us, we may require you to provide certain information, such as your user name, first and last name, telephone number, occupation, billing address, and email address.
We also collect any messages you send to us through the Service, and may collect information you provide in User Content published to the Service, such as media files, notes, and transcripts that you upload or generate. We use this information to operate, maintain, and provide you with the features and functions of the Service, communicate with you, and resolve any issues you raise regarding the Service.
If you do not provide us with your personal information, you may not be able to access or use our Services, or you may not be able to use the full range of our Services.
Abstract: We collect information about you that you choose to provide to us, such as when you register an account, use services, or otherwise interact with us.
(b) Information we receive from third-party applications
We may receive information about you from third parties when you access the Service through a third-party connection or log-in.
Specifically, if you register or log in to NoteAi using a third-party account (such as Google Sign-In), that third party will pass on certain information to us based on your privacy settings with that service. This information typically includes your user ID associated with your account (e.g., Google UID), name, email address, profile picture, and the access token required to validate your credentials.
We use this information to create your account, verify your identity, and provide the Service to you. You should always check and, if necessary, adjust your privacy settings on third-party websites and services before linking or connecting them to the Service. You can also unlink your third-party account from the Service by adjusting the settings in that third-party service (e.g., via your Google Account permissions).
Abstract: When you log in using Google or other third-party providers, we receive your basic account details (like name and email) to set up your NoteAi account.
(c) Information we automatically collect from you
We collect analytics data directly or use third-party analytics tools to help us measure Service traffic and usage trends. These tools collect information sent by your browser or mobile device, including the pages you visit and other information (see the following section on "Log file information") to help us improve our Services. For more information about the analytics cookies we use and how to opt out, please see our Cookie Policy.
Abstract: We automatically collect some information about how you use our Services. For more information on how we collect this information, see our Cookie Policy.
(d) Cookies and similar technologies
When you access the Service, we (and our third-party partners) may send cookies (small text files containing a string of alphanumeric characters) to your computer to uniquely identify your browser. This allows NoteAi to perform operations such as helping you log in faster, enhancing features, remembering your preferences, and improving the overall user experience.
Cookies also convey information about how you use the Service (for example, the pages you view, the links you click, and other actions you perform on the Service) and allow us or our business partners to track your usage of the Service over time. They also enable us to measure traffic and usage trends, provide personalized advertisements that may be of interest to you, measure their effectiveness, and identify potential new users.
You can control or reset your cookies through your web browser, which allows you to customize your cookie preferences, reject all cookies, or indicate when a cookie is being sent. However, if you disable cookies, some functions of the Service may not work properly. For more information on how we use cookies and how you can control them, please read our Cookie Policy.
Abstract: We send cookies to your browser to help you use NoteAi and for other commercial purposes. For more information about how we use cookies and how you control them, see our Cookie Policy.
(e) Log file information
Each time you access the Service, your browser or mobile device automatically reports log file information. When you use our Service, our servers automatically record certain log file information. These server logs may include anonymous information such as your web request, browser type, referring/exit pages and URLs, number of clicks, domain names, landing pages, pages viewed, and other similar information.
Abstract: Whenever you load a page from NoteAi, your browser sends us information about it and your interaction with our Services. This information is stored on our servers.
(f) Clear GIFs / Web Beacons
When you use the Service, we may use clear GIFs (also known as web beacons) to anonymously track the online usage patterns of our users. In addition, we may use clear GIFs in HTML-based emails sent to users to track which emails recipients have opened and which links they have clicked. This information allows for more accurate reporting and improvement of the Service.
Abstract: We may use small images to track how many people open our emails and visit our website.
(g) Device identifiers
When you access the Service on devices, including smartphones or tablets, we may access, collect, and/or monitor one or more device identifiers, such as Universally Unique Identifiers (UUID). A device identifier is a small data file that uniquely identifies your mobile device.
Device identifiers may convey information to us about how you browse and use the Service and may remain persistently on your device to help you log in faster and navigate the Service better. If the use of device identifiers is impaired or disabled, some features of the Service may not function properly. The device identifiers used by NoteAi may include Android Advertising IDs and iOS Advertising Identifiers.
Abstract: Your mobile phone or device sends us information about your usage to help improve your experience.
(h) Location data
NoteAi collects information to understand the general location of its users for various reasons. This helps NoteAi localize and personalize content, comply with local laws, conduct aggregate analysis, understand whether users use NoteAi for personal, commercial, or educational purposes, improve advertising efficiency, and estimate tax obligations.
NoteAi may collect your exact or approximate location:
When you provide, correct, or confirm your location (for example, when you purchase a subscription from us);
By inferring your location from your IP address; and
From our payment processing partners.
Abstract: NoteAi may collect and use your location data for personalization, analysis, advertising, and tax compliance purposes.
(i) contents in your account
We collect the content you upload, import, or generate within your NoteAi account. This specifically includes:
Media Files: Audio and video recordings you upload or record directly via the Service.
Imported Content: Content derived from third-party links you provide (e.g., YouTube or TikTok URLs).
Generated Content: Transcripts, summaries, mind maps, visual notes, and chat history generated by NoteAi based on your media.
Metadata: Information associated with your content, such as file names, duration, timestamps, and creation dates.
Abstract: NoteAi stores the audio, video, and notes you upload or create so you can access and manage your knowledge base.
We use the information we collect for the following purposes:
Providing Services to You We use the information you directly provide to us to deliver the Service. This includes allowing you to log in to NoteAi, operating and maintaining the Service, enabling access to your notes and media, and processing payments for transactions. We also use automatically collected data to remember your preferences so you do not need to re-enter them during your visit or the next time you visit the website.
Data Analysis We use your information to help us improve the NoteAi Service and user experience, including metrics such as monitoring the total number of visitors, traffic, and general usage patterns.
Service Optimization & No-Training Policy on User Content We may analyze usage metadata (e.g., how often features are used, file sizes, processing times) to optimize our infrastructure and algorithms. Crucially, we do NOT use your private User Content (including uploaded audio/video files, transcripts, or generated notes) to train our general artificial intelligence models. Any machine learning processing is performed strictly to provide the specific service you requested (e.g., generating a summary for that specific video) and is not used to improve our models for other users.
Customized Services We use and combine information to ensure the Service is tailored to your needs. For example, to recommend features or workflows that may be useful to you, we may look at your previous interactions with the Service. Unlike other platforms, we do not analyze the content of your private notes for this purpose, only your interaction patterns.
Communication We use your contact information to get in touch with you regarding the Service. For example, we may send you emails about technical issues, security alerts, account verification, or administrative matters.
Marketing and Promotions To promote engagement with NoteAi, we may use your contact information to ask if you’d like to participate in surveys or to inform you about features and offers we think may interest you. You can opt-out of these marketing communications at any time (see the "Your Choices" section).
Service Improvement We analyze aggregated, anonymized data about how users interact with NoteAi to identify bugs, measure effectiveness, and develop new features.
Advertising We may use cookie information and other automatically collected data to measure the effectiveness of our advertising campaigns on third-party platforms. This helps us identify potential new users who might benefit from NoteAi. We do not sell your personal content to advertisers.
Customer Support We use your information to resolve technical issues you encounter. This may involve reviewing server logs or metadata associated with your account to help our support team repair and improve the Service for all NoteAi users.
Security Measures We use information to monitor for suspicious or potentially fraudulent activity, and to identify violations of this Privacy Policy or our Terms of Use.
Explicit ConsentNoteAi may seek your consent from time to time to use your information for a specific purpose not listed here. If you agree, we will use it only for that purpose. You may withdraw your consent at any time.
Legal Compliance When we have reason to believe it is necessary, NoteAi will use or disclose your information to: (a) comply with applicable laws or legal processes; (b) enforce our Terms of Use; or (c) protect the rights, property, or safety of NoteAi, our users, or the public.
Abstract: NoteAi uses your information primarily to provide, secure, and improve the Service. We do not use your private notes or media files to train our AI models. We use usage data to fix bugs and optimize performance.
(a) How do we share your information?
We share your information with third-party service providers in order to provide the Service to you and promote the legitimate interests of NoteAi. These service providers will have the right to access your information only when reasonably necessary, and we require such third parties to comply with this Privacy Policy, appropriate data processing terms, and any applicable laws.
Some third parties with which NoteAi may share your personal information include service providers that assist us with:
Billing and payment processing;
Customer support and management;
Email services;
Hosting and storage infrastructure;
Data analytics;
AI processing providers (strictly for generating transcripts and summaries, not for training their models);
Security;
Advertising and marketing services.
Abstract: We may share some information about you with our business partners and third-party service providers solely to provide the Service or operate our business.
(b) How do you share your User Content?
Public Content Any information or content (such as public User Content) that you voluntarily disclose or publish to the Service can be read, collected, and used by the public. When you make your personal profile public or make User Content public, your information becomes available worldwide and may be indexed by search engines. If you or NoteAi delete the information you published, copies may still be viewable in cached and archived pages of the Service, or if other users have copied or saved that information.
You can share your NoteAi notes with your social media accounts (e.g., LinkedIn, Twitter/X). You should ensure that you are familiar with the privacy policy of each platform and any privacy settings that may apply to the content you choose to share.
NoteAi collects these links and may share them with service providers when necessary to provide the Service. Once you share a link, your recipients may share it further.
Abstract: Your notes are private by default. When sharing a note, make sure the privacy settings are appropriate. For notes containing sensitive information, we recommend restricting access to "Invited Users Only."
(c) Sharing related to merger, acquisition, or reorganization
NoteAi may also share, sell, or transfer your information to a third party in connection with or during negotiations of any merger, acquisition, reorganization, financing, sale of assets, bankruptcy, or insolvency event involving NoteAi. Information such as customer names, email addresses, User Content, and other user information related to the Service may be among the items sold or transferred.
In the event of such a transaction, you will be notified via email and/or a prominent notice on the Service of any change in ownership or uses of your personal information, as well as any choices you may have regarding your personal information.
Abstract: If we sell our business, user information may be transferred as part of the sale.
(d) Your Employer If you use an email address provided by an employer (e.g., enterprise, non-profit, or educational institution) to access NoteAi, and your employer has established an enterprise account with NoteAi, you acknowledge that we may share your name, email address, and account status with your employer. If your use of NoteAi is personal and not related to your work, please use a personal email address. You can contact support@noteai.ai to update your email address.
Abstract: If you use a work email, we may share limited account information with your employer.
(e) Sharing with Third-Party Integrations In some cases, you may choose to integrate NoteAi with third-party applications (e.g., Notion, Obsidian, Slack) to export, store, or share content. This may involve exporting data from NoteAi to these third parties.
If you authorize such a connection, the system will request your permission. These third-party applications are not under our control, and this Privacy Policy does not cover how they use your information. Before connecting any third-party application, you should check its terms and privacy policy.
Abstract: When you integrate NoteAi with other apps (like Notion or Slack), we share data with them based on your instructions.
(f) Sharing Aggregate Data We may aggregate or de-identify data by stripping all personally identifying features and may share such anonymous data with third parties for research, marketing, or analytics purposes.
Abstract: We may share anonymous, aggregated data with third parties.
(g) Sharing with Authorities We may access, preserve, and share your information with regulators, law enforcement, or other entities if we have a good-faith belief that it is necessary to:
Detect, prevent, and address fraud, unauthorized use of the Service, violations of our Terms of Use, or other harmful or illegal activity;
Protect ourselves (including our rights, property, or intellectual property), you, or others, including as part of investigations or regulatory inquiries;
Prevent death or imminent bodily harm.
Abstract: We may share data with authorities if required by law or to prevent harm/illegal activities.
We work with third-party advertising partners and social media platforms (such as Google, Facebook/Meta, and TikTok) to manage our advertising on other sites. These partners may use cookies and similar technologies to show you NoteAi advertisements based on your browsing activities and interests, and to help us identify potential new users who are similar to our existing users.
(a) How We Use Advertising Data NoteAi may share certain limited information with our advertising partners, such as hashed email addresses (a secure, non-readable format), location data, or cookie identifiers. This allows us to:
Show you relevant NoteAi ads on other platforms (Retargeting);
Find other people who might like NoteAi based on shared characteristics (Lookalike Audiences);
Measure the performance of our ad campaigns.
If you prefer not to have your hashed email matched for these purposes, you can opt-out by contacting us at support@noteai.ai.
(b) Tracking Technologies Our third-party partners may use technologies such as cookies, JavaScript, device identifiers, and pixels (transparent GIFs) to collect information about your browser or device usage. This helps measure the effectiveness of our ads and personalize content. For more information on how we and our partners use these technologies, please refer to our Cookie Policy.
(c) No Sale of DataNoteAi will not sell or rent your personal information to third parties for their own independent marketing purposes. We only share data to promote NoteAi services to you or potential users.
(d) Third-Party Policies Please note that our Privacy Policy does not apply to third-party advertisers or platforms. We cannot control the activities of these third parties. We encourage you to review the privacy policies of platforms like Google and Facebook to understand how they handle your data.
Abstract: We use ad partners like Google and Facebook to show NoteAi ads to you and find new users. We do not sell your data to other companies for them to market their own products to you.
Your information collected through the Service may be stored and processed in the United States or any other country where NoteAi, its affiliates, or service providers maintain facilities.
NoteAi may transfer information that we collect about you, including personal information, to affiliated entities or to other third parties across borders and from your country or jurisdiction to other countries or jurisdictions around the world. Please note that we may transfer information, including personal information, to a country and jurisdiction that does not have the same data protection laws as your jurisdiction.
However, we take appropriate safeguards to require that your personal information will remain protected in accordance with this Privacy Policy. By using the Service, you consent to the transfer of information to the U.S. or any other country in which NoteAi, its parent, subsidiaries, affiliates, or service providers maintain facilities and the use and disclosure of information about you as described in this Privacy Policy.
Abstract: In order to run our Services, we rely on NoteAi team members and infrastructure providers (like cloud servers) around the world. This means your information may be transferred to and processed in the United States or other countries.
NoteAi takes the security of your information seriously and uses commercially reasonable physical, administrative, and technical safeguards to preserve the integrity and security of all information collected through the Service.
To protect your privacy and security, we take reasonable steps (such as requesting a unique password) to verify your identity before granting you access to your account. You are responsible for maintaining the secrecy of your unique password and account information, and for controlling access to your email communications from NoteAi at all times.
However, NoteAi cannot ensure or warrant the security of any information you transmit to NoteAi or guarantee that information on the Service may not be accessed, disclosed, altered, or destroyed. Your privacy settings may also be affected by changes to the functionality of third-party sites and services that you add to the NoteAi Service (such as social networks). NoteAi is not responsible for the functionality or security measures of any third party.
Abstract: We use industry-standard measures to protect your data. However, no security system is impenetrable, and we cannot guarantee its absolute security__. You are responsible for keeping your password safe.

Please refer to your mobile device or browser's technical documentation for instructions on how to delete and disable cookies and other tracking tools. Depending on your device type, it may not be possible to delete or disable tracking mechanisms entirely.
Please note that disabling cookies and/or other tracking tools may prevent NoteAi or its business partners from tracking your activity in relation to the Service, and may disable many features provided through the Service. If you have questions about opting out of cookies, please read our Cookie Policy or contact us at support@noteai.ai.
Abstract: You can adjust your browser or device settings to stop collecting cookies. However, without cookies, NoteAi may not function correctly, and you may lose personalized features.

If you have previously consented to certain processing and no longer want us to use your information for that purpose, you may withdraw your consent. However, this will not affect the lawfulness of processing based on consent before its withdrawal.

Following the termination or deactivation of your user account, NoteAi may retain your personal information and User Content (such as transcripts, notes, and summaries) for a commercially reasonable time for backup, archival, and audit purposes.
Exception for Media Files: As stated in Section 1(j), raw Media Files (audio/video) uploaded for processing are deleted from our servers immediately after the transcription and summarization process is complete, and are not subject to this retention period unless required by law.
We retain other information (such as billing records and account history) specifically to comply with legal and auditing obligations.
Abstract: We retain your account data and notes to comply with legal obligations and provide the Service. However, raw audio/video files are deleted immediately after processing__.

In addition, you agree that we are not responsible for and do not control any third parties that you authorize to access your User Content. If you use a third-party website or service (such as Facebook or Google) and you allow them to access your User Content, you do so at your own risk.
Abstract: If you follow a link to an outside website, NoteAi's privacy rules no longer apply. We cannot control what third-party websites do with your data.
